Set up Gmail in Outlook for Mac

Gmail can’t do everything Outlook for Mac can do on your computer. Where’s the flexibility to sort email, for example in Gmail on the web? Fortunately, you can set up Gmail in Outlook for Mac and keep all email and labels in sync.

The instructions in this article apply to Outlook 2019 for Mac, Outlook 2016 for Mac, Outlook for Office 365 for Mac, and Outlook for Mac 2011

What you can do and access with Gmail in Outlook for Mac

Messages tagged (or tagged) in Gmail for the web appear in your Outlook for Mac folders. Similarly, if you copy a message in Outlook to a folder, it will appear under the appropriate label in Gmail; moving a message removes it from its label (or inbox) in Gmail.

In the Junk E-mail section, you can access the spam label in Gmail; Drafts, deleted messages, and sent messages can be found in the Drafts, Deleted Items, and Sent Items folders respectively in Outlook for Mac.

You can hide Gmail shortcuts (even some system shortcuts like spam ) appear in email programs that connect via IMAP.

Access Gmail with Outlook for Mac

Set up as an IMAP account, Gmail in Outlook for Mac not only receives and sends incoming emails; it also gets access to all your old Gmail messages.

Accessing Gmail with Outlook for Mac is a two-step process. You first enable IMAP in Gmail and then set up Outlook for Mac to download your Gmail messages.

Enable IMAP in Gmail

To enable IMAP in Gmail, sign in to your Gmail account, open Gmail and follow these steps:

  1. Click on icon Institutions and then select Institutions

  2. Go to the tab Forwarding and POP/IMAP and select Enable IMAP

  3. Sign out of Gmail.

Set up Gmail in Outlook

After you configure Gmail to enable IMAP, open Outlook for Mac and follow these steps:

  1. Select Outlook Institutions account † In Outlook for Mac 2011, go to instruments and select bills

  2. On screen bills select plus sign in the lower left corner. Or choose Other email address

  3. In a text field E-mail address enter your Gmail address.

  4. In a text field password enter your Gmail password.

    If 2-step verification is enabled for Gmail, create and use an application password specific to Outlook for Mac.

  5. Check box Set up automatically

  6. Select Add Account and close the account window.
