Add a PowerPoint caption to a slide

PowerPoint presentations with lots of graphics benefit from adding a special box, a callout, to the slide. Captions refer to the object they highlight and provide additional information. Captions are visually separated from the rest of the content with different fonts, colors and shades.

The instructions in this article apply to PowerPoint 2019, PowerPoint 2016, PowerPoint 2013, PowerPoint 2010, and PowerPoint for Office 365.

Use a PowerPoint caption to add focus text

To add a PowerPoint highlight using one of the built-in highlight shapes:

  1. Select House .

  2. Select figures to see all available shapes. The callout section is at the bottom of the list.

  3. Select call out of your choice. The pointer changes to a cross shape.

  4. Drag to create a PowerPoint caption shape.

  5. With the leader selected, enter the leader text.

You can change the size, fill color, font, and orientation of a callout after it’s been inserted into a PowerPoint slide.

Change Highlight Size

To change the leader size:

  1. Select the leading edge.

  2. Drag the sizing handle to reach the desired size. Use a corner handle to maintain the aspect ratio of the PowerPoint caption. Repeat if necessary.

Change the fill color of a PowerPoint caption

To change the comment color:

  1. Select the PowerPoint caption if it isn’t already selected.

  2. Select House .

  3. Select down arrow fill form .

    Or right click on the shape and select Format Shape to access the fill color options.

  4. Select one of the colors shown. Or choose from a variety of other fill options, such as a pattern, gradient, or texture. The new fill color is applied to the selected PowerPoint caption.

Choose a new font color for the PowerPoint caption

To change the appearance of fonts in a callout:

  1. Select the PowerPoint caption.

  2. In the Font section of the Home tab, note the color of the line below the Font Color button. This is the current font color.

  3. Click down arrow font color to open font color options.

  4. Pick a color. This font color is applied to the PowerPoint caption text.

Point the pointer of the PowerPoint call to the correct object

To move the callout pointer:

  1. Select the PowerPoint caption.

  2. dragging control knob (this is the yellow dot at the end of the callout pointer) to point to the object you want to associate the callout with. The callout stretches and may refocus.

  3. Save your changes to your presentation.
