Change the look of your emails in Outlook, make emails simple or trendy

Email messages can be composed in three different formats: plain text, rich text or HTML. Initially, emails were plain text with no font or format, embedded images, colors, or other extras. Rich Text Format (RTF) is a file format developed by Microsoft that offers more formatting options. HTML (HyperText Markup Language) is used to format emails and web pages and offers a wide variety of formatting options beyond plain text. You can create your emails with more options in Outlook by selecting the HTML format.

The instructions in this article apply to Outlook 2019, Outlook 2016, Outlook 2013, Outlook 2010, Outlook for Office 365, Outlook Online, and Outlook for Mac.

Using HTML or plain text formats in Outlook.com

If you use the Outlook.com email service, enable HTML formatting in your emails using the Quick Outlook settings.

  1. Select Settings that appears as a gear or cogwheel icon.

  2. On the menu Quick Settings select View all Outlook settings .

  3. In the dialog box Settings select mail .

  4. Select Create and reply .

  5. Select drop-down arrow Create posts in and choose HTML .

  6. Select Save and close the dialog Settings .

  7. HTML formatting options are available when composing messages.

Change the message format in Outlook on Mac

When composing an email message, you can set individual messages to use HTML or plain text in Outlook for Mac:

  1. In the message box, select the tab parameters: .

  2. Select Text Format Switch to switch between HTML format and plain text.

When you reply to an HTML email or compose an HTML message, switching to plain text removes all formatting. This format includes bold and italics, colors, fonts, and media. After removing these elements, switching back to HTML format does not restore the format of the email message.

Use HTML or plain text formats in Outlook for Windows

If you’re replying or forwarding an email in Outlook for Windows and want to change the message format for just one message to HTML or plain text:

  1. With the message open in the reading pane, select Submit to open the message in a separate window.

  2. In the message box, select the tab Text format .

  3. In Group Format select HTML or flat text depending on what format you want to use.

To set the default format for all email messages sent in Outlook:

  1. Go to File > parameters: .

  2. In the dialog box Outlook options select mail .

  3. In chapter Create messages select drop-down arrow Create posts in this format and choose HTML , Flat text . or rich text .

  4. Select Okay to close the dialog Outlook options .
