Organize the naming dialog the way you want

When you compose a new email message in Outlook and select: To who or choose To who the contact list is displayed. This list is sorted alphabetically by first name and then by last name. If you want to sort the list by last name followed by first name, change it.

The information in this article applies to Outlook 2019, 2016, 2013, 2010; and Outlook for Office 365.

Change the sort order in the Select Names dialog box in Outlook

To change the sort order of contacts in the Choose Names dialog box in Outlook:

  1. Go to the tab File and choose Information .

  2. Select account settings > account settings .

  3. Go to the tab Address Books select Outlook Address Book and then select Change .

  4. In chapter Outlook Address Books select the address book whose contact view you want to resize.

  5. In chapter Show names by select File as (Smith, John) .

  6. Select close to .

  7. In the dialog box account settings select close to .

  8. Close Outlook and restart it.

  9. Create a new email and select To who .

  10. Contacts are sorted in the order you choose.

Sort Contact List

To change the sort order of contacts in the contact list:

  1. Click on icon People in the lower-left corner of the Outlook window to open the contact list.

  2. Go to the tab House and in the group Current display select List .

  3. Select a column heading for the column you want to sort.

  4. Sorting the contact list makes searching for individual contacts more useful.

Formatting individual contact names

If individual names in the contact list do not have the format you want, change the format.

To create individual contacts:

  1. V contact list double click on the contact you want to create.

  2. On the page Contact select drop-down arrow File as and choose how the contact’s name is displayed. ,

  3. Select Save and Close .

  4. The contact is formatted as you chose in the field File as .
