Conditional formatting can change the way Outlook messages are displayed.

By default, Microsoft Outlook displays unread messages in the same font style as read messages, except they are marked with a blue bar. To make unread messages stand out more, set the conditional formatting to change the font to a different size, color, or style.

The information in this article applies to Outlook 2019, 2016, 2013, 2010; Outlook for Office 365; and Outlook Online.

Use conditional formatting of unread Outlook messages

To apply conditional formatting to unread messages:

  1. Go to the tab Vision and choose Show settings

  2. In the dialog box Advanced display settings select Conditional formatting.

  3. In the dialog box Conditional Formatting select To add

  4. In a text box Name enter a descriptive name for the new conditional formatting rule, such as Custom Unread Email

  5. Select Font style to change the font settings.

  6. In the dialog box Font style change Font style Font style Mate or Color

  7. Select Okay

  8. In the dialog box Conditional Formatting select Condition

  9. In the dialog box Filter go to tab Added options

  10. Check box Elements only and choose unread

  11. Select Okay

  12. In the dialog box Conditional Formatting select Okay

  13. In the dialog box Advanced display settings select Okay

  14. Go to your mailbox.

  15. All unread messages will follow your new conditional formatting rule.

Conditional formatting of unread messages in Outlook 2007

To format unread messages in Outlook 2007:

  1. Select Vision current display Customize current view

  2. Select Auto format

  3. Select unread messages

  4. Select Font style and select the desired font options.

  5. Select Okay to save the new settings.

Conditional formatting of unread messages in Outlook Online

There are no special settings in Outlook Online to determine the format of unread messages. However, there is a workaround that applies different rules to mark unread messages.

  1. Open Outlook.com and select Institutions (gear icon in the top right corner of the screen).

  2. Select View all Outlook settings

  3. in the window Institutions select mail regulations

  4. Select Add new rule

  5. Enter a descriptive name for your rule.

  6. Click the drop-down arrow Add condition and choose Apply to all posts

  7. Select drop-down arrow Add action and choose categorization † Then select a category to apply to all new posts.

  8. Select Save and close the settings window.

To apply a category to all new messages, you must reclassify the messages as they are read. If you’d rather not, there are other options for flagging unread messages in Outlook online:

  • Pin at the top of your mailbox

  • Move to unique folder

  • Mark as important
