Create contact lists that allow you to send emails to multiple recipients at once

Mailing lists, also known as contact lists and contact groups, combine multiple email addresses under a pseudonym to make it easier to send messages to all members of the list, rather than emailing each contact individually.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010, Outlook for Office 365, and Outlook.com.

Create contact group in Outlook

Distribution lists are called contact groups in Outlook. Follow these steps to create a contact group and then add members to it in Outlook 2019, 2016, 2013, and Outlook for Office 365.

  1. Go to At home and select New elements Additional elements Contact group

    Quickly access a group of contacts with a hotkey Ctrl+Shift+L

  2. In the dialog box Contact group place the cursor in the text field Name and enter a name for the contact group.

  3. Go to the tab Contact group and select Add members From Outlook Contacts

  4. In the dialog box Select members: contacts select a contact from the list, then select Members to add it to the group. Add additional members to the group as needed.

  5. Click Okay to return to the dialog box Contact group

  6. Select Save and Close

Create contact group in Outlook 2010

Creating a contact group in Outlook 2010 is similar to later versions, but there are some differences.

  1. Click Contacts

    To use a contacts shortcut, press ctrl + 3

  2. In a text box Name enter a name for the contact group.

  3. Go to the tab Contact group and press Add members

  4. Select the contacts you want to add to the group.

  5. Click Members to add the selected contacts to the group.

  6. Click Okay to return to the dialog box Contact group † The contacts included in the group are displayed.

  7. Click Save and Close

Create a contact list on Outlook.com

Sign in to your Outlook.com account and follow these instructions to create your contact list.

  1. Select Starter for Office applications in the upper-left corner of the Outlook.com page, then select People

  2. Click the drop-down arrow new contact and then select New contact list

  3. Enter a name and description for the group (only you will see this information).

  4. In a text field Add email addresses enter the name or email address of the contact you want to add to the list. Offers are generated from your contacts and displayed in a drop-down list.

    Select a suggested contact to add it to the list, or enter an email address and select To add if the contact is not in your address book.

  5. Once you’ve added everyone to the list, select To create

How to change your Outlook.com contact lists

To edit a contact list after it has been created:

  1. Open Launcher for Office Applications and select People

  2. Select All contact lists select the list of contacts you want to edit and select Change

  3. Edit your contact list by adding or removing contacts, changing the description or renaming the list.

  4. After making all the changes, select Save

How to delete Outlook.com contact lists

To delete a contact list:

Deleting a contact list does not delete individual contacts in the list.

  1. Open Launcher for Office Applications and select People

  2. Select All contact lists and then select the list you want to delete.

  3. Select remove

  4. In the confirmation window, select remove

  5. The contact list has been deleted.
