Create a professional signature on any platform

Gmail, Outlook, and Yahoo Mail allow you to add a custom signature to every email you send. Each service allows you to add and format text, images, and links in the signature field in Settings. You can create a simple email signature for each of these services relatively quickly.

To add an HTML signature, you need to create your HTML signature outside of email services, as none of these allow you to edit HTML in signature fields. If you know HTML well, open your favorite HTML editor, type in the code, and copy it into the signature box for Gmail, Outlook, or Yahoo Mail.

Many people find it easier to use an HTML signature generator service over email. For example, Mail-Signatures.com allows you to select which email provider to use and then enter custom content into the fields. Here’s how to use this service.

  1. Open a web browser on your computer and go to https://www.mail-signatures.com/signature-generator/.

  2. In the top left corner, select your email platform: Outlook, Outlook 365, Thunderbird, Gmail, Exchange Server, or Exchange Online. If you’re using Yahoo Mail, select the Gmail option, as the HTML generated for Gmail should work in Yahoo Mail as well.

  3. Then choose a signature template. As of April 2019, Mail-Signatures.com offers 21 template options. Use the arrows to scroll through the available options. Click on a template to select it. When you click on a template, you may notice changes to the signature options that appear at the bottom left of the screen. For example, some templates include “Disclaimer” areas, while others skip this section.

  4. Set your email signature details. Select each of the sections shown at the bottom left of the screen and enter your email signature details. If you don’t want to include a field, delete the sample data in that field. Repeat this process for personal information, company information, disclaimer text, styling, and social media links.

    What should be in your email?

    You may want to include additional communication methods in your email signature, such as one or more phone numbers, or links to social networks such as Facebook, Instagram, or Twitter. You can also include an address or a link to a website. Usually, you don’t need to provide your email address, because everyone who received your email already has this information. Chances are, you can omit your fax number if you don’t work in a field that still relies on faxing.

  5. Then, if you want to add a custom photo or logo, select the Graphics option. You need a public link (URL) if you want to include your own image in your signature. (To get a public link, you can upload your image to something like Google Drive or Flickr and make this file available to everyone.)

  6. When you are done filling in and setting up the fields, select put your signature .

  7. Review and follow all on-screen preparation instructions, then select Copy signature to clipboard .

    Want to customize the HTML signing code?

    If you want to review or modify your HTML signature code, you can also paste the code you just copied into the HTML editor. For example, open a new browser tab on your computer, go to https://html5-editor.net/ and paste the copied code into the view box on the right side of the screen. The HTML source code for your signature is displayed on the left side of the screen. You can make additional changes in the code or in the display window.

  8. Then continue with the instructions for your email provider below to find the signature field and paste ( ctrl-v ) your new HTML signature to the web version of your email service.

gmail

If you use Gmail, you can add an HTML signature from a browser on your computer.

  1. Open Chrome and go to https://mail.google.com. Log in to your Gmail account when prompted.

  2. Select star icon in the top right corner of Gmail, then select Settings .

  3. Go to the tab Occur often and scroll down to area Signature .

  4. Paste your HTML email signature into the Signature field and edit it.

  5. Scroll down to the bottom of the screen and select Saving Changes . (See Add a signature to Gmail for more details.)

Yahoo

If you use Yahoo! Mail, you can add an HTML signature from a browser on your computer.

  1. Open a browser and go to https://mail.yahoo.com. Log in to your Yahoo! Email account, if prompted.

  2. Select the star icon under the Home icon in the top right corner of Yahoo! Mail.

  3. Select Additional Settings at the bottom of the displayed options.

  4. Select Write an email in the menu on the left side of the screen.

  5. Enable subtitle slider.

  6. Paste your HTML email signature into the Signature field and edit it. (See Integrating HTML into your Yahoo Mail signature for details.)

If you use Outlook on the web, you can add an HTML signature from a browser on your computer.

  1. Open a browser and go to https://outlook.live.com. Sign in to your Outlook account when prompted.

  2. Select the star icon in the top right corner of Outlook Mail.

  3. Select View all Outlook settings at the bottom of the displayed options.

  4. Select Create and reply in the displayed menu.

  5. Paste your HTML email signature into the Email Signature field and edit it.

  6. Check the boxes next to “Automatically include my signature in new messages I create” and “Include my signature automatically in messages I forward or reply to” to add your signature to messages.
