Manage your email efficiently by sorting messages into folders
Keep your Outlook inbox manageable by organizing messages into folders and subfolders. After creating new folders, drag messages into those folders. Then all your related email messages will be in one place.
The instructions in this article apply to Outlook 2019, 2016, 2013, 2010; Outlook for Office 365; and Outlook Online.
Create new folders or subfolders in Outlook
Create folders and subfolders in the same way in Outlook 2019, 2016, 2013, 2010, and Outlook for Office 365 by following these steps. The screenshots below are from Outlook 2016. Other versions of Outlook will look slightly different, but menus, options, and functionality will remain the same.
Go to the tab folder and select new map †
In a text field Name enter a name for the new folder.
Select drop-down arrow Folder contains and choose Mail and mail elements to save e-mail messages in a folder.
In chapter Choose a location for the folder select the location where the folder will be created.
Select Okay † The folder is created in the location you choose.
If you don’t want to use the menu to create a new folder, right click in the folder pane location where you want to create the new folder, then select new map † Enter a folder name in the text box that appears and click Enter †
How to delete a folder in Outlook
If you no longer need the mail folder, delete it.
On panel folders right click folder or subfolder you want to delete.
Select Delete folder †
Select Yes to confirm the deletion.
The folder and its contents are moved to the Deleted Items folder.
If you’re connected to an email service like Gmail via IMAP and it has its own folder, you’ll find your deleted items in the email service’s folder (the deleted items folder might be labeled “Trash”).
Create folders on Outlook.com
Outlook.com is the web version of Microsoft’s email client that in many ways looks and functions like the desktop and mobile app versions. It also differs in some ways, including the way folders are created.
On panel folders select new map †
When an empty box appears, enter the name you want to give the new folder and click Enter †
A new folder will be created in the left pane.
Create subfolders on Outlook.com
You can create subfolders in your Inbox, in associated email account folders such as Yahoo Mail or Gmail, and in personal folders and folders that you create.
To create a subfolder, right click on the folder you want to add the subfolder to and select Create a new subfolder †
To make a folder a subfolder, drag it to another folder.
