Set views for multiple folders in Outlook

Outlook views automatically sort, find, and organize messages in any folder according to your needs. Set a custom look and apply it to multiple folders with common attributes. And if you want a different view, just change your own view and automatically apply it to those folders.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010; and Outlook for Office 365.

Create a custom folder view for multiple Outlook folders

To set up a custom folder view that can be applied to multiple Outlook folders:

  1. Select a folder and change the view. For example, set the sort order for messages, group e-mail by conversation topic, or change the font size in the message list.

  2. Go to the tab Vision and select Change perspective > View management .

  3. In the dialog box Management of all types select Current display settings and then select To copy .

  4. In the dialog box To copy enter a name for the new view, select All mail and mail folders and then select Okay .

  5. In the dialog box Advanced display settings make any changes to the view. When you’re done, click Okay to close the Advanced Display Options dialog box.

  6. In the dialog box Management of all types select Okay .

Apply custom view to folders

To apply a custom view to a folder:

  1. Select the folder to which you want to apply the custom view.

  2. Go to the tab Vision .

  3. Select Change perspective and select a custom view.

  4. The custom view settings are applied to the selected folder.

Change custom view settings

To change the appearance of the custom view you’ve created, go to the tab Vision and choose Change perspective > View management . Then highlight the custom view and select Change . You can then change the order in which conversations are grouped, columns appear in the message list, conditional formatting, and more.

After you change the custom view settings, all folders that use the custom view are automatically updated.
