Cut, copy and paste data in Excel

When working with large amounts of data in Excel, you may need to copy and paste what you’ve already written, or perhaps move the selection around altogether. Whether you’re working with data within a single worksheet, multiple worksheets, or even several workbooks, there are simple shortcuts you can use to cut, copy, and paste.

Remark. These instructions apply to Excel 2019, 2016, 2013, 2010, and Excel for Office 365.

Copy data to Microsoft Excel

Copying data to Excel is useful when you need to duplicate functions, formulas, charts, and other data. The new location can be on the same sheet or on a different sheet, or even in a completely different workbook.

As with all Microsoft programs, there are several ways to perform a task. There are three ways to copy and move data in Excel:

  • Using keyboard shortcuts

  • Usage right click context menu

  • Use menu options on tab on the adhesive tape

When the copy command is activated, a duplicate of the selected data is temporarily stored in the clipboard until you paste it into the target cell or cells.

Other methods for copying data without using the clipboard include using the fill handle and dragging with the mouse.

Copy and paste data into Excel using keyboard shortcuts

Perhaps the easiest way to cut, copy, and paste is with keyboard shortcuts. Shortcuts for copying and pasting data:

  Ctrl  +  C  - активирует команду копирования.

  1. Click on a cell or multiple cells to select them.

  2. Press and hold a key ctrl on keyboard.

  3. Press and release the button C without letting go of the key ctrl

  4. A moving border (sometimes called marching ants) will surround the selected cells.

  5. Press destination cell – When copying multiple data cells, click the cell in the upper left corner of the target range.

  6. Press and hold a key ctrl on keyboard.

  7. Press and release the button V without letting go of the key ctrl

  8. The duplicated data should now be in both the source and destination locations.

arrow keys on the keyboard can be used instead of the mouse pointer to select both source and destination cells when copying and pasting data.

  • Select multiple adjacent cells with arrow keys keep the key pressed Shift

  • Select multiple non-adjacent cells with arrow keys use the key ctrl

Copy data to Excel using the context menu

Although the options available in the right-click menu or the context menu usually change depending on the object selected, the cut, copy, and paste commands are always available.

  1. Click on a cell or multiple cells to select them.

  2. Right click on the selected cells to open the context menu
  3. Select to copy from the available menu options.

  4. A moving black border will surround the selected cells.

  5. Press destination cell – when copying multiple data cells, click the cell in the upper left corner of the target range.

  6. Right click on the selected cells to open the context menu
  7. Select insert from the available menu options.

  8. The duplicated data should now be in both the source and destination locations.

Copy data from tape

The copy and paste commands are located under clipboard From the left House † tab ribbons

  1. Click cell or multiple cells to mark them.

  2. Click the icon To copy on tape

  3. A moving black border will surround the selected cells.

  4. Press destination cell – when copying multiple data cells, click the cell in the upper left corner of the target range.

  5. Click the icon Insert on tape

  6. The duplicated data should now be in both the source and destination locations.

Moving data in Microsoft Excel

There is no move command in Excel. To move data, you need to cut and paste it from one location to the new location. You can use cut/paste in Excel to move functions, formulas, charts, and other data. The new location can be in the same or a different worksheet, or even in a completely different workbook.

Similar to copying, there are three ways to cut data in Excel:

  • Using keyboard shortcuts

  • Usage right click context menu

  • Use menu options on tab on the adhesive tape

When you cut data in Excel, the clipboard temporarily stores it, just like when you copy data.

Move data in Excel with keyboard shortcuts

Shortcuts used to copy data:

  Ctrl  +  X  - активирует команду обрезки

  1. Click on a cell or multiple cells to select them.

  2. Hold down the Ctrl key on your keyboard.

  3. Press the button and release X without letting go of the key ctrl

Move data to Excel using the context menu

When you right-click a cell, the context menu always contains cut, copy, and paste commands.

  1. Click on a cell or multiple cells to select them.

  2. Right click on the selected cells to open context menu
  3. Select to cut from the available menu options.

  4. A moving border (sometimes called marching ants) will surround the selected cells.

  5. Press destination cell – when copying multiple data cells, click the cell in the upper left corner of the target range.

  6. Right click on the selected cells to open context menu
  7. Select insert from the available menu options.

  8. The selected data should now be in the destination only.

Move data in Excel using the ribbon

  1. Press cell or multiple cells to mark them.
