Keep Outlook PST archive folder size small for better performance

All versions of Microsoft Outlook use PST files to store email, contacts, calendar data, and other Outlook data. Over time, these files grow in size, and as these files grow, Outlook’s performance slows down. Keep the PST file size small by deleting old information or archiving it to ensure the best Outlook performance.

The instructions in this article apply to Outlook 2019, Outlook 2016, Outlook 2013, Outlook 2010, and Outlook for Office 365.

Do Outlook PST files have a size limit?

Outlook uses the PST file format, which is capable of storing Unicode data, which is the standard that represents most of the alphabets on computers. These PST files have no size limit, but a practical limit of 20 GB to 50 GB is recommended.

Automatically archive old PST items

Use the AutoArchive feature in Outlook to automatically move items to the archive to keep your folders and inbox under control.

  1. Launch Outlook.

  2. Select File .

  3. Go to page Information and select account settings .

  4. Select account settings .

  5. Go to the tab Data files and select To add .

  6. In a text field file name enter a name for the archive.

  7. Click the drop-down arrow Save as type and choose Outlook data file .

    Protect the file with a password. Check box Add additional password and follow the instructions.

  8. Select Okay .

  9. Select close to .

You may never need to access archived files, but recovering Outlook PST archive is not difficult.

Change AutoArchive settings for a single folder

Change individual folder settings to suit your needs.

  1. Launch Outlook.

  2. V navigation areas right click on the folder you want to change.

  3. Select Properties .

  4. Select tab Automatic archiving .

  5. Select the settings you want to apply, such as: Do not archive items in this folder or Delete old items .

  6. Select Apply and then click Okay to apply the changes and close the window.
