Excel Format Painter: Copy Formatting Between Cells

Function Painter’s layout Excel and Google Sheets make it quick and easy to copy formatting from one cell or group of cells to another area of ​​the sheet.

The instructions in this article apply to Excel 2019, 2016, 2013, 2010, Excel Online, and Excel for Mac.

Excel and Google Sheets Format Painter

In Excel and Google Sheets, the Format Painter feature is especially useful when you want to apply formatting on a sheet to areas that contain new data. When you use Format Painter instead of re-creating the formatting, your formatting is the same on all sheets.

In Excel, the format copy options allow you to copy the original formatting one or more times to one or more locations. These locations can be on the same sheet, on another sheet in the same workbook, or in a different workbook.

Copy multiple times with Painter Format

Open a blank workbook in Excel, enter the data shown in the image above, and follow these steps to apply the formatting of the data in column B to the data in columns C and D:

  1. Add any formatting options you want to use in the source cells.

  2. Highlight cells B4 and B8 .

  3. Select House .

  4. Select Format Painter .

  5. Hover over a cell to display the brush with a pointer. This indicates that Format Painter is activated.

  6. Highlight cells C4 and D8 .

  7. The formatting options are copied to the new location and Format Painter is disabled.

Double click the Formatter icon to copy multiple times.

An additional option (only available in Excel) is to double-click Format Painter. Thus, Format Painter is enabled even after selecting one or more target cells. This option makes it easy to copy formatting to multiple non-adjacent cells that are on the same or different worksheets or workbooks.

To copy the formatting to non-adjacent groups of cells in Google Sheets, repeat the above steps to copy the formatting to a second worksheet area.

Disable Formatting Drawer in Excel

There are two ways to disable Format Painter when it is in multiple copy mode in Excel:

  • Click ESC .

  • Select Format Painter .

Keyboard Shortcut for Excel Painter Format

There is no simple two-key shortcut for Excel Painter. However, the following keyboard shortcuts can be used to mimic Format Painter. These keys use the paste options in the Paste Special dialog box .

  1. Click ctrl + C to copy the contents of the original cells, including the applied data and formatting. Source cells are surrounded by a dotted line .

  2. Select the target cell or adjacent cells.

  3. Click ctr + alt + V to open the Paste Special dialog box.

  4. Click t + Enter to paste the applied formatting into the target cells.

As long as the dotted line appears around the original cells, the cell formatting can be pasted multiple times. Repeat steps 2-4 above to paste the format multiple times.

Create Macro

If you use Format Painter a lot, you can easily apply it with your keyboard by creating a macro. Open the macro recorder, use hotkeys and assign a hotkey that activates the macro.

Google Sheets Paint format

The Paint Format option in Google Sheets copies the source formatting to only one destination at a time. In Google Sheets, source formatting can be copied to parts of the same sheet or to different sheets of the same file. It cannot copy formatting between files.

Open a blank Google Sheets workbook, copy the data in the image above, and follow these steps to copy the formatting from cells B4:B8 to cells C4:D8:

  1. Add all formatting options to source cells.

  2. Highlight cells B4 and B8 .

  3. Select Paint size (it looks like a scroll).

  4. Select target cells from C4 before D8 .

  5. The formatting used for the cells in column B is copied to the cells in columns C and D. The Paint Format feature is turned off.
