Manage your messages with personalized folders for important messages

In Microsoft Outlook, it is easy to create a rule that will send all email from a specific address to a specific folder. If you haven’t already set up a folder for this purpose, create a new folder for the person’s email by right-clicking the Inbox folder and selecting New Folder.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010, 2007; Outlook for Office 365; and Outlook on the web. The steps for filtering email may be slightly different in Outlook for Mac.

Forward emails to a folder in Outlook 2019 and 2016

To send messages from a specific sender to a specified folder:

  1. Open the email of the sender whose messages you want to filter.

  2. Go to Message and select regulations Create rule

  3. In the dialog box Create rule Check the box From [ отправитель ]

  4. In section Do the following Check the box Move item to folder

  5. In the dialog box Rules and Warnings select the folder where incoming messages from the sender will be moved.

    To create a new folder, select New enter a folder name and select Okay

  6. Click Okay when you’re done. New emails you receive from the specified sender will be saved in the folder you selected.

Filter email in Outlook on the web

To send messages from a specific sender to a specified folder using Outlook for Office 365 on the web:

  1. Sign in to Outlook.com and select Institutions (gear icon in the top right corner).

  2. Select View all Outlook settings

  3. in the window Institutions go to section mail select regulations and then select Add new rule

  4. Enter a name for your rule.

  5. Click the drop-down arrow Add condition select From and enter the sender’s email address.

  6. Click the drop-down arrow Add action select Move to and then select the destination folder.

  7. Select Save † Incoming emails from this sender will be automatically moved to the folder you choose.

Forward emails to a folder in Outlook 2013

Forwarding incoming emails to a specific folder in Outlook 2013 is very similar to later versions of Outlook, with a few minor changes.

Follow the steps below to create a similar rule in Outlook 2013.

  1. Open the email from the sender you want to filter.

  2. Go to the tab At home

  3. Select regulations Always move messages from: [ Отправитель ]

  4. Highlight the destination folder.

  5. Select Okay

Filter email in Outlook 2010 and Outlook 2007

To set up Outlook 2010 and Outlook 2007 to automatically send messages to a specific sender:

  1. Right-click a message from the sender whose messages you want to filter.

  2. Select in Outlook 2010 regulations Create rule † Select in Outlook 2007 Create rule and then check the box From sender

  3. Check box Move item to folder

  4. Select Select folder

  5. Highlight the desired destination folder.

  6. Double click Okay to finish.

To move all existing messages from a sender in the current folder to the target folder of the filter, select the checkbox Run this line on messages already in the current folder and select OKAY .
