How to add line numbers to an MS Word document

Adding line numbers to a Microsoft Word 2010 document takes about a minute. But why do you want to? Because sometimes page numbers are not enough. How many times have you been in meetings, each with the same document, turning the pages to find the same paragraph or sentence?

It took us years to figure out how line numbers can help in meetings, or really any time two or more people are working on the same document. Instead of saying let’s look at the 18th sentence in the 3rd paragraph on page 12, you could say let’s look at line 418. This takes the guesswork out of the group work on the document!

All about line numbers

Microsoft Word automatically numbers all lines except a select few. Word treats the entire table as one line. Word also skips text boxes, headers and footers, and endnotes and endnotes.

Microsoft Word treats the numbers as one line, as does a text box with text wrapping applied. however, lines of text in the text field are not counted.

You can control how Microsoft Word 2010 handles line numbers. For example, you can apply line numbers to specific sections, or even numbers in increments, such as every tenth line.

When it’s time to fill out the document, simply delete the line numbers and voila! You’re ready to go without the frustrating turning pages and searching for lines during meetings and group projects!

Add line numbers to document

  1. Open drop-down menu Line numbers In chapter Page Settings tab page layout .

  2. Choose your option from the drop-down menu. You can choose from the following options: Not (default setting); continuous which is applied continuously to the line number throughout the document; Restart on any page which restarts the line numbering on each page; Reboot any partition to resume line numbering for each section; and Suppress for current paragraph to disable line numbering for the selected paragraph.

  3. To apply line numbering to the entire document with section breaks, select the entire document by clicking CTRL+A on the keyboard or by selecting Choose them all from the section To process tab House .

  4. To add a sequential line number, select Line Numbering Options in the drop-down menu. The Page Setup dialog box for the Layout tab opens.

  5. Press the button page numbers . Check box Add line numbering and enter the desired increase in the field Quantity per .

  6. Press the button Okay in the dialog box Line numbers and then click Okay . Page Setup dialog box.

  7. To remove line numbers from the entire document, select Not drop down menu Line numbers v Section Tabs Page Setup page layout .

  8. To remove line numbers from a paragraph, click the paragraph and select Suppress current paragraph drop down menu Line numbers v Page Settings tab page layout .
