Having a good signature when sending an email will make you appear more professional. It’s also a great way to provide email recipients with all your contact information without having to enter it every time you send an email.
The following article will teach you how to change your signature in Outlook, both in Outlook desktop and Outlook mobile app.
Change your signature in Outlook for desktop
If you want your signature to appear automatically at the bottom of your emails, you need to create your signature once. Then put this in the Outlook settings section, which automatically applies the signature to the footer of every email you send.
The instructions in this article apply to Outlook in Office 365, Outlook 2019, Outlook 2013, and Outlook 2010.
First, open the Outlook desktop app and select “File” from the menu. then select Options.
In the Outlook Options window, select: mail on the navigation bar. Click on the button in this window Signatures to open the label settings window.
If you’re using Outlook on MacOS, you can open the same window by selecting: Outlook by selecting Settings and choose Signatures in the email section. The rest of the steps below are the same.
In the Signatures and Stationery window, select New to create a new signature. Give the signature an appropriate name. You can create multiple signatures. For example, create one for your personal emails and one for your business emails.
From the editing panel, you can design your email using a simple editor. This tool allows you to use any font style or even import images into your signature if you wish.
In the Select Default Signature section, you can use the New Messages or Messages/Replies drop-down menus to choose whether this signature is used for new messages when you reply to or forward a message, or both. When you’re done, click Okay to save the new signature.
Change the signature in email messages
When you create a new email, you will see the signature you have set as default at the bottom of your email.
You can change the signature used in the email at any time by selecting from the menu Message by selecting Signature In chapter To turn on ribbon and select your desired signature from the drop-down list.
The signature at the bottom of the letter changes automatically. You can change the signature at any time while editing an email.
Edit signature in Outlook
If signatures are already set up in Outlook, editing these signatures is the same as creating new ones.
There are two ways to do this.
When editing an email, select Messages from the menu, then select Signature In chapter To turn on on the tape. Select Signatures from the drop-down list.
You can also go to the signature window using the same procedure as above. Whichever way you open the Signatures window, simply select the signature you want to change from the panel Select caption to edit † You can edit this caption using the editor bar at the bottom of the window.
When you’re done, just click Okay to finish editing and save changes to your signature.
Change your signature in Outlook for mobile
Creating or editing your email signature in the Outlook Mobile app is similar to the desktop app, but the editor’s flexibility is much more limited.
To add or change your email signature in Outlook for mobile:
The following procedure works for Outlook for Android or Outlook for iOS. The app is almost identical on both platforms when it comes to adding or editing an email signature.
Open the Outlook app and click menu icon in the top left corner of the window. Click gear icon in the menu (opens the “Settings” menu).
In the Settings menu, scroll down to the Mail section and tap Signature †
In the Signature window, you can create a basic signature using the on-screen keyboard. The signature is text only; there is no drawing style or image capabilities.
Click tick icon in the top right corner of the screen to save your signature. Every time you open a new email to send, you will see the signature automatically appear at the bottom of the email.
If you use multiple email accounts, you can set a unique signature for each account. The signature will appear automatically depending on the account you are using.
Using signatures in Outlook
Not all email clients provide a good way for users to add signatures to email. Outlook, for both mobile and desktop, makes it easy to create and use signatures.
