Compress these PST files in Outlook to save space

When you delete an email in Outlook, it ends up in the Deleted Items folder When you empty your Deleted Items folder, deleted messages remain in your PST file. Outlook frees up this space periodically, but you can start the process manually. For example, to save space, compress the PST file the first time you empty your Deleted Items folder after a lot of spam, or if you’ve just moved a year’s worth of email to your PST archive.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010, 2007; and Outlook for Office 365.

Compress PST File to Reduce Size in Outlook 2019, 2016, 2013, and 2010

To manually recover space in an Outlook PST file:

  1. Go to the tab File and choose Information

  2. Select account settings account settings

  3. In the dialog box account settings select tab Data files

  4. Select the data file you want to compress.

  5. Select Institutions

  6. Select Compress now

  7. The progress bar shows the compact status.

  8. Select Okay

  9. Select close to

  1. Select File Data file management

  2. Select the data file you want to compress.

  3. Select Institutions

  4. Select Compress now
