How to print an Outlook email with a different font size

Change email font size before printing

If the text in an email message is too large to fit on the page or too small to read, print the text in different font sizes in Microsoft Outlook with just one minor adjustment before clicking the Print button.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010; and Outlook for Office 365.

Print larger or smaller text in Outlook

One reason to print larger text is to make very small text much larger before printing the email so that the printed page is easier to read. Or maybe you’re in the opposite situation where you need to shrink large text to fit the email on the page.

  1. Double-click an email in Outlook to open it in a new window.

  2. On the tab Message go to group Movement and select Actions

  3. Select Edit message

  4. Select the text you want to make larger or smaller. Use hotkey Ctrl+A to select all text in the email.

  5. Go to the tab Text format

  6. In a group Font style select Increase font size to increase the size of the email. Or use the hotkey Ctrl+Shift+>

  7. To make the text smaller, select Reduce font size or use the hotkey Ctrl+Shift+.

  8. To specify the exact font size, click the drop-down arrow Font size and choose a size.

  9. Click ctrl+p to preview the message before printing it. Or choose File seal

  10. Select seal when you’re done.

If the text is still too large or too small, tap the back arrow in the top left corner of the screen to return to the message and change the text size.
