How to get those deleted emails back in Outlook

When you delete an email in Microsoft Outlook, it disappears, but is not completely removed from your account. These deleted messages are moved to another folder in Outlook and are not permanently deleted. These deleted emails are kept for your convenience in case you accidentally delete a message and want to recover it.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010; Outlook for Office 365, Outlook for Mac, and Outlook Online.

Where are deleted emails sent from Outlook?

Most likely, any email you delete will still be stored, hidden from normal viewing, for at least a few weeks, and often much longer. Find the correct email address to recover it.

Deleted emails are located in the following locations:

  • folder Deleted items (in Outlook or in your email account).

  • In chapter Recoverable Items (with Exchange and Office 365 accounts).

  • In backup storage (on your computer, in the cloud, or with an email provider).

Recover just deleted email in Outlook

If you change your mind immediately after deleting a message you want to keep, it’s very easy to repair the damage and restore your email. To undo a deleted message that has been moved to the trash, click Ctrl + Z (Windows) or ⌘+Z . (Mac). The message will be returned to its original folder if no other action (such as moving or tagging another message) has been performed since it was deleted.

If you performed other steps after deleting the message, undo the sequence of steps until you undelete and restore the desired email. To recover more than one message, go to your Deleted Items folder and restore the email.

Recover email from Outlook deleted items folder

Most of the deleted emails in Outlook are moved to the Deleted Items folder. This is also the place where you can recover email.

To restore messages that are in the Deleted Items folder:

  1. Select the folder containing the deleted emails.

    For POP, Exchange, and Outlook Mail on the web (Outlook.com) email accounts, go to Deleted items . For IMAP accounts that use a folder for deleted items, go to Basket .

  2. Open or highlight the message you want to recover. Flag more than one email to recover several at a time.

    If you can’t find the message, use the search field to find the sender’s folder or message subject.

  3. Go to the tab House and choose Movement > Other folders . Or click on Ctrl+Shift+V (Windows) or ⌘+Shift+M (Mac).

  4. Select a destination folder for the recovered message.

  5. Click Okay (or Movement for Mac).

Recover email deleted from the Deleted Items folder of an Exchange account in Outlook for Windows

Email messages are deleted from the Deleted Items folder after a period of time set by the account administrator, when the Deleted Items folder is emptied, or when a message in the Deleted Items folder is permanently deleted.

For most Exchange accounts, messages deleted from the Deleted Items folder can be recovered within a specified time. This period depends on how your Exchange administrator has configured your account. This also applies to emails that have been permanently deleted.

To recover messages deleted from the Deleted Items folder in Outlook for Windows:

  1. Connect to your Exchange email account in Outlook.

  2. Go to folder Deleted items account.

  3. Go to the tab House .

  4. In Group Actions select Recover deleted items from server .

  5. In the dialog box Recover Deleted Items mark the messages you want to recover.

  6. Sort the list using one of the column headings, eg By or DELETED ; click again to change the sort order.

  7. Press and hold to mark multiple emails ctrl and then select messages. Loves . pressed to select a message range Shift .

  8. Select Restore selected items .

  9. Select Okay .

  10. The message or messages will be recovered and moved to the folder Deleted items .

  11. To recover a message, go to the folder Deleted items and mark the recovered message.

  12. Go to the tab House and choose Movement > Other folders .

  13. In the dialog box Moving elements select inbox or another folder.

  14. Select Okay .

Recover email deleted from the Deleted Items folder of an Exchange account with Outlook Web App (on macOS, Linux, and more)

Outlook for Mac does not provide an interface for recovering messages deleted from the Deleted Items folder of an Exchange account. Use the web interface for the account instead.

To recover email that is no longer in the Deleted Items folder of an Exchange account using Outlook Mail on the web and Outlook Web App:

  1. Open Outlook Web App for your Exchange account in a browser.

  2. Open folder Deleted items .

    If you don’t see the full list of folders, select the drop-down arrow folders (⌄).

  3. Select Restore items deleted from this folder .

  4. Hover over the email you want to recover and check the box.

    Messages are sorted by the date they were deleted and moved to the folder Deleted items .

  5. Select To recover .

  6. The letter will be moved to the folder it was in before it was deleted.

Restore email from backup

If you can’t recover email, you have other options. Check the following locations to back up your email account:

  • Email service . You can restore messages yourself from a backup or by contacting support.
  • your computer : Search for automatic backups of downloaded or cached messages.
  • Your other email account . If you forward messages from one of your addresses to another, look for a copy in your forwarding account.

To restore email from email service backups (except Outlook Mail on the web and Outlook 365), check the following options:

  • quick mail : restore from backup
  • G Suite (Google Apps Gmail): Data Recovery
  • Yahoo! mail : recover lost or deleted emails

To restore messages stored with backup software and services:

  • Outlook . Restore the archived PST file.

  • macOS and OS X Time Machine : backup your data

If your Outlook data is not saved and you lost the PST file, you can recover the PST file with free data recovery software.

Recovering deleted Outlook email from backup can be difficult. Explore other options first.

Save the current state of Outlook and messages before returning to a previous step in your email archive. Otherwise, you may lose the messages you received during this time and you will eventually have to recover them.

Email recovery seemingly lost forever in Outlook: last straw

If you only miss one or two messages, ask the sender to send you another copy. They may have email at their fingertips in their Sent Items folder.
