Create a file that is easier to use with other design documents

When doing a work or personal project that involves electronic information, it’s always a good idea to have everything you need in one place, such as a single folder on your hard drive or in the cloud. But this can be tricky if the documents are in different formats. You may have Word files and Excel spreadsheets in your file, HTML files that are bookmarked on the web, and messages stored on your email server.

In most cases, you can convert files to a format that is easier for you to work with. This is the case with e-mail, which can be converted to a PDF file. The PDF file can be saved with Word, Excel and other types of documents in a regular Documents folder and can also be used and viewed by other users regardless of the type of hardware or software. PDF files can also be protected with permissions and passwords.

Here’s how to convert Microsoft Outlook email messages to PDF files.

Convert email to PDF with Outlook 2016 or later

Follow these steps if you have Windows 2010 installed.

  1. In Outlook, open the message you want to convert to PDF.

  2. Click on tab File and choose seal .

  3. In chapter a printer open the drop-down menu and select Microsoft Print to PDF .

  4. Click seal .

  5. In the dialog box Save print output as navigate to the folder where you want to save the PDF file.

  6. If you want to change the file name, do so in the field file name and then click Save .

  7. The file will be saved in the folder you selected.

For versions of Windows earlier than 2010, you must save the email as an HTML file and then convert it to PDF. Here’s how:

  1. In Outlook, open the message you want to convert.

  2. Open a tab File and choose Save as .

  3. In the dialog box Save as navigate to the folder where you want to save the file.

  4. If you want to change the file name, do so in the field file name .

  5. Click on drop down menu Save as type and choose HTML and then press Save .

  6. Open now Word and go to the tab File and then select Open . Select the saved HTML file.

  7. Open a tab File and choose Save as .

  8. Navigate to the location where you want to save the file. In the dialog box Save as open the drop-down menu File type and choose PDF .

  9. Click Save .

  10. The PDF file will be saved in the folder you selected.

Convert Email to PDF with Office 2007

If you are using Outlook 2007, there is no easy way to convert email to PDF directly. But you can get the information in PDF with a few extra steps:

  1. In Outlook, open the message you want to save.

  2. Place the cursor on the message and click Ctrl+A on the keyboard to highlight the entire text of the message.

  3. Click ctrl+c to copy the text.

  4. Open a blank Word document.

  5. Click Ctrl+V to insert text into the document.

  6. Press the button Microsoft Office and then press Save .

    This process does not include the message header. If you want to include this information, you can enter it manually in the Word document, or you can click Reply > Forward , copy the content and paste it into the document.

  7. In a Word document, click Microsoft Office , hover over it Save as and choose PDF or XPS .

  8. in field file name enter a name for the document.

  9. mention Save as type select PDF .

  10. In chapter Optimize for select the desired print quality.

  11. Click parameters: to select additional settings, then press Okay .

  12. Click To publish .

  13. The PDF file will be saved in the folder you selected.

Convert Email to PDF on Mac

If you’re using Outlook on Mac, follow these steps:

  1. In Outlook, open the message you want to convert to PDF.

  2. Click File > seal .

  3. Open drop-down menu PDF and choose Save as PDF .

  4. Enter a name for the PDF file.

  5. Click on the arrow next to the field Save as and navigate to the folder where you want to save the file.

  6. Click Save .

  7. The PDF file will be saved in the folder you selected.
