Learn how to transfer Outlook contacts to Mac
If you want your Outlook contacts to be available in the Apple Mail app on your Mac, put them in the Contacts app. This is a two step process. Store your contacts in the Outlook Address Book on a business card (VCF). Then into the MacOS Contacts app that Mail uses to manage your contacts, import the file and organize its contents.
The instructions in this article apply to Outlook for Office 365 for Mac, Outlook 2019 for Mac, and Outlook 2016 for Mac.
Export Outlook contacts to VCF file
To export Outlook contacts to a VCF file:
On your Mac desktop, create a new folder called Outlook contacts † This is not mandatory, but helps to organize the transfer.
Open Outlook and select People †
Select one or more contacts to export.
Drag the contacts to the folder you created on the desktop, Outlook contacts † Contacts are stored in this folder in vCard format.
Import Outlook contact files to MacOS Contacts app
To import your contacts into macOS Contacts:
Open Contacts †
Open the folder you created on your desktop Outlook contacts †
Select all contacts in a folder Outlook contacts (Click † A †
Use the left mouse button to drag contacts from the folder to the macOS Contacts app.
When prompted to confirm adding new contacts, select To add †
Newly imported contacts can be found in the macOS Contacts app.
Allow duplicate contacts
If duplicate contacts are copied to the macOS Contacts app, macOS will notify you of these duplicate contacts. To deal with duplicates:
When prompted to import a duplicate contact, select View duplicate † Cancel copy or Import †
if you choose View Duplicates you can choose keep it old † Save new † keep both or Refresh †
- keep it old saves the original contact in the Contacts app.
- save new copies the new contact over the original contact in the Contacts application.
- keep both makes a copy of a new contact with the same name.
- Updating combines the original and new contact details.
Whichever option you choose (except: Cancel ), the new contact or updated contact will be displayed in the macOS Contacts app.
