Use email templates in Gmail to quickly write messages

Email templates allow you to type less and faster, ultimately improving your Gmail experience.

Gmail templates include ready-made replies that you can quickly insert into any email to fill in all the details you’d otherwise spend writing each new message.

Enable ready-made answers

The very first step is to enable message templates in Gmail, which you do with the Canned Response feature. However, it is not enabled by default.

Here’s what to do:

Skip directly to step 4 by going directly to Gmail’s Advanced Features (Labs) page.

  1. Press the button Institutions in the Gmail toolbar, just below the image.

  2. Select Institutions on the menu.

  3. Go to the tab Additionally † It used to be called labs

  4. know for sure To turn on selected for Canned Answers

  5. Press the button Saving Changes

Save message as template in Gmail

Creating a template in Gmail belongs to the Canned Responses feature. See the section above to make sure the template feature is enabled.

To save an email for future use as a template in Gmail, do the following:

  1. Compose a new Gmail message to use as a template. Leave the signature if you want it to appear on messages sent with the template. You can leave the Subject: and To: fields blank as they are not saved with the template.

  2. Click extra options the downward-facing triangle in the toolbar at the bottom of the message, next to the . button Cancel draft

  3. Select in this new menu Canned Answers and then New Default Answer in section Save

  4. Enter the desired name for your template. This name will be used by you later when choosing a template, but will also be used as the subject of the message (although you can always change the subject after inserting the template).

  5. Click Okay to save the Gmail template.

Create a new message or reply with a template in Gmail

To send a completed message or reply in Gmail, do the following:

  1. Start a new message or reply.

  2. Press the button extra options bottom right of the message formatting toolbar (it looks like a descending triangle).

  3. Choose from this menu Canned Answers

  4. Select the desired template in the area Insert to immediately import this template into the message.

  5. Make sure to fill in the fields To who And Subject:

  6. Edit the message if necessary and click send normally.

Note that Gmail will not overwrite existing text unless you select it before pasting the template text. For example, you can manually enter something and then insert a template message to include it behind your custom text.

Change Message Template in Gmail

You may need to change your Gmail template at some point.

  1. Start with a new message. It’s best to make sure the entire message area is blank so that you can only edit the completed reply.

  2. Press the button extra options on the message toolbar (small down arrow in the lower right corner).

  3. Click Canned Answers

  4. Select the template you want to change under Insert to import into the message.

  5. Make the desired changes to the template.

  6. Return to section extra options And Canned Answers

  7. Choose the same template as before, but in the section Save so that it is saved over the existing template.

  8. Click Okay when you see the invitation Confirm overwriting a ready answer with the following text: Overwrites the saved default response. Are you sure you want to continue?
