Print a sheet of the entire book

We may live in a digital world, but there are times when you just need to print an Excel spreadsheet. Whether you want to share data with someone who doesn’t have access to a computer, or need a collection of office handouts, follow this easy tutorial to learn how to print an Excel spreadsheet or workbook.

This guide is compatible with Office for PC 2010, 2013, 2016 and 2019 and Office for Mac 2011, 2016 and 2019.

Print options for Excel spreadsheets

Before we dive into Excel’s print menu, let’s take a look at some of the common options that will be available whether you’re using a Mac or a Windows PC for this process.

Print selection † When you print an Excel document, you can choose exactly what you want to print. You can choose between all active worksheets, the entire workbook, or the area that is currently selected. To highlight a selection in your workbook, just select the rightmost cell and then Click and drag to select the rest of the selected element.

with parse † This option tells the printer in which order you want to print the document. If you print multiple copies of data from Excel, the with parse will print each set of documents together, and the option no selections will print all first pages together, then all second pages together, and so on.

Orientation † You can choose to print the document in bookstore (high) or landscape (broad) orientation. If most of your data works vertically, choose the portrait option, otherwise we recommend choosing landscape.

Page size † Indicates the paper size in your printer. You should know this size before printing, medium paper is commonly referred to as letter size paper and is 8.5 x 11 inches.

fields † Do you need to slightly increase the distance between documents when printing? Excel will print documents from narrow field default, but you can change it if needed.

Bowls † Your spreadsheet may not fit on one sheet of paper, so you have four printing options: sheet fits on one page without scales – print a full size spreadsheet, put all columns on one page And put all the lines on the whole page † Choose the best option based on your data.

Gridlines and titles † Although this particular option is not in the Print menu, it does allow you to decide whether you want instructions and headings to appear when you print.

Print an Excel spreadsheet (Windows)

Follow these steps once you are ready to print your document on a Windows PC using Microsoft Excel.

  1. If you want print selected document, select it now.

    Otherwise go to step 2

  2. Select tab File and then select an option seal

  3. To adjust to print Institutions if necessary, using the guide above to help you choose.

    Adjust the setting as needed. Copies the number of copies you want to print.

  4. When you are ready to print, click the button seal to print the document.

Print an Excel spreadsheet (Mac)

Follow these steps once you are ready to print a document from your macOS computer using Microsoft Excel.

  1. If you want print selected document, select it now.

    Otherwise go to step 2

  2. Select File menu and then select an option seal

  3. To adjust to print Institutions if necessary, using the guide above to help you choose.

    Adjust the setting as needed. Copies the number of copies you want to print.

  4. When you are ready to print, click the button seal to print the document.
