Whether you’re a fan of public speaking, a good PowerPoint presentation will help you get your message across. Improve your communication even further by providing participants with a printable version of the slides, along with speaker notes. You give your audience more information to work with than what you show on your presentation slides.

Remark . The instructions in this article apply to PowerPoint for Office 365, PowerPoint 2019, PowerPoint 2016, PowerPoint 2013, PowerPoint 2010, PowerPoint for Mac, and PowerPoint Online.

Print speaker notes in PowerPoint for PC

The process for printing presentation slides with annotations is quite simple if you are using the latest version of PowerPoint on PC or PowerPoint Online.

  1. Open your PowerPoint presentation.

  2. Select File and then select seal .

  3. Select the printer and the number of copies you want.

  4. In chapter Settings use the drop-down menus to make your selection:

    • Choose the number of slides you want to print. Select print all slides , print current slide or Custom Range . if you choose Custom Range , select the slides you want to print. For example, enter 1-3, 5-8 to print slides 1, 2, 3, 5, 6, 7, and 8.

    • Select the size you want to print in. Select Notes pages . The preview screen on the right shows how the printed pages will look.

    • If your printer supports this, you also have the option: Print on one side or Print on both sides . Make a choice for this option. Keep in mind that double-sided printing saves paper.

    • Choose the order in which you want to print the pages; they can be compared or not called .

    • Select portrait orientation or landscape orientation .

    • Choose whether you want to print in Colour , shades of grey or Pure black and white .

  5. Back at the top of the screen, select seal.

Print speaker notes in PowerPoint for Mac

When using PowerPoint for Mac, this process follows the same basic steps, but with some minor differences.

  1. Open the menu File and choose seal .

  2. In the dialog box seal select Show details , and then select Power Point .

  3. Click on the various drop-down menus and radio buttons to select the desired settings.

    Pay special attention to the menu Layout . Here you choose the layout of your printed page. Select the option that contains notes.

  4. At the bottom of the window, select seal .
