Outlook stores emails, address book entries, and other data in an Outlook Personal Store (PST) file. If you have backed up a PST file or need information from another PST file, restore it using Outlook. It may be scary to lose this information, but Outlook is really very easy to recover data so you can recover Outlook contacts and email.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010, 2007, 2003; and Outlook for Office 365.

Recover Outlook PST File for Email, Contacts and Data

If you have a backup of the PST file and want to restore the data in the PST file, then import the backup PST file. This backup PST file can be used to restore Outlook data on the same computer, on another computer, or on a different email account.

  1. Go to section File Open and Export Import Export † In Outlook 2007 and 2003, go to File Import and Export

  2. Select Import from another program or file and then select Further

  3. Select Outlook Data File (.pst) or Personal Folders File (.pst) depending on the version of Outlook you are using, select Further

  4. Select Overview to locate and select the PST file from which you want to import data.

    Outlook can check for backup.pst file in DocumentOutlook Files † Select Overview to change the search location.

  5. Choose one of the following:

    • Replace duplicates with imported elements † Imports all data and replaces data in an existing PST file that matches.
    • Allow duplicate creation † Imports all data and makes duplicates of identical elements. Every email and contact is imported, even if those items are in an existing PST file.
    • Do not import duplicates † Data that matches an existing file will not be imported.

  6. Select Further

  7. Select an import folder (optional), select or Including subfolders and where to import. Select Filter to filter specific emails for import.

  8. After setting the import options, select Finished

If you don’t have a backup of your Outlook data and want to recover the PST file, use a file recovery program and look for .PST as the file extension.

Add a new PST data file to Outlook

To recover the PST file in Outlook and use it as another data file, add the PST file as a second account along with the default account.

  1. Go to File account settings account settings

  2. In the dialog box account settings go to Data files

  3. Select To add to add another PST file to Outlook.

  4. Select Outlook Data File (.pst) and choose Okay

  5. Select the PST location, select a file name and then click Okay

  6. Highlight the PST file and select Set as Default to make it the new default data file.

  7. Select close to
