Change the From field in Microsoft Outlook

When you send an email in Outlook, the recipient sees your name in the From field. It could be your first and last name, a pseudonym or even a company name. You can change this name to another without affecting the delivery of the letter.

The instructions in this article apply to Outlook 2019, Outlook 2016, Outlook 2013, and Outlook for Office 365.

Rename email sender in Outlook

Here’s how to change the sender’s name when sending an email in Outlook:

  1. Go to File and select Information .

  2. Select account settings > account settings .

  3. In the dialog box account settings select the email account you want to change and select Change .

  4. In a text box your name enter the name you want to appear on the “From” line of your emails.

    If you have a Microsoft Exchange account, you cannot change your display name. Please contact your Exchange administrator to make this change.

  5. Select Further .

  6. Select Finished .

When you send a new email from an account, the “From” field contains the display name you’re displaying.

Change sender when composing an email

You can also set the sender when you create a new email using Outlook. In this case, choose one of several accounts configured in Outlook. Use this approach to instantly change the account and name you’re sending email from, regardless of which account you opened the new email from.

To set the sender when writing a new email:

  1. Go to House and select New email address .

  2. Click the drop-down arrow By and select the account you want to display in the “From” field.

    If you don’t see the “From” field in the email compose window, go to parameters: and select By .

  3. The name you defined for this account will appear in the “From” field when the recipient opens the email.

Change reply address

An alternative to editing the From field is to set the address for the reply. The reply address will receive replies to the original email.

To set a reply address:

  1. Go to File > Information .

  2. Select account settings > account settings .

  3. Select the email account you want to change and select Change .

  4. In a text box Reply address enter the email address where you want to receive replies to your messages.

  5. Select Further .

  6. Select Finished .

When a recipient replies to an email, a reply is sent to the email address you provided.
