Organize your accounts by name or by moving them

If you use Outlook to access multiple email accounts, you may see them in a different order. If you use a unified inbox in the latest versions of Outlook, you can receive email sorted by email account.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010, 2007; and Outlook for Office 365.

Reorder an account in Outlook

As of Office 2010, the order in which email accounts are displayed in Outlook is simply a matter of using the mouse to drag and drop the accounts into the order they should be displayed. It’s much easier if you collapse the accounts ahead of time so that you can sort them more easily.

This is how it works:

  1. Open Outlook and collapse all accounts so that only the account names are visible.

  2. Tap and hold the account you want to move, then drag the account up or down to another position.

  3. When you close and reopen Outlook, the email accounts are sorted in the order you set.

  4. To reorder accounts, drag the account name to move them.

Reorder Account in Outlook 2007

For versions of Outlook earlier than Outlook 2010, the default order is to use your default account first, followed by the rest in alphabetical order.

To change the order of email accounts, rename the accounts that start with a number. Then, if you sort alphabetically, the account will be listed in the order you choose.

  1. Open the Outlook desktop app.

  2. Go to the tab File and select Information .

  3. Select account settings and select Profile management .

  4. In the dialog box Set up email select Data files .

  5. in the window account settings select tab Data files .

  6. Select the account you want to rename and select Settings .

  7. Put a number before the account name in the order you want it to appear.

  8. Select Okay .

  9. Close the dialog account settings .

  10. Close the dialog Set up email .

  11. When you’re done, the accounts will appear in the main window in the order you numbered the account names.
