Create PowerPoint PDF to share or print

Saving a PowerPoint document as a PDF file is a quick way to create a PowerPoint presentation ready to be printed, viewed, or emailed. PDF stores all formats you use, regardless of whether fonts, styles, or themes are installed on the recipient’s computer. In addition, PDF files are a safe way to send your presentation to someone because the files cannot be edited or modified.

This article applies to PowerPoint 2019, 2016, 2013, 2010; PowerPoint for Office 365, PowerPoint Online, and PowerPoint for Mac.

Save a PowerPoint presentation as a PDF file

Saving a PowerPoint presentation as a PDF is as easy as opening the standard Save As menu. Follow these instructions to export your presentation as a PDF for easy sharing.

  1. Open your PowerPoint presentation.

  2. Select File

  3. Select Save as

  4. Choose a location and name for the file.

  5. Select Down arrow file format and choose pdf (*pdf)

  6. Select Save to create your PDF. Select in PowerPoint for Mac Export

To print the file or email it for review, create a PDF of your PowerPoint presentation. Animations, transitions, and sounds are not activated in a PDF document. PDF files can only be edited with special add-on software.

Save a PowerPoint 2010 presentation as a PDF file

If you’re using Office 2010, the instructions for saving PowerPoint as PDF are slightly different. Follow these steps to get the job done:

  1. Open your PowerPoint presentation.

  2. Select File

  3. Select Save and send

  4. Select Create PDF/XPS Document

  5. Choose a location and name for the file.

  6. Select To publish to create your PDF.

If you’re using PowerPoint Online, select File Download as Download as PDF

Optimize your PDF on creation (PC)

To change the slides and other content in the PDF file, select parameters: in the Save As dialog box. The Options dialog box opens, where you can select the set of slides you want to convert to PDF, as well as publishing options for notes, handouts, and outlines.
