Schedule an Outlook email at a more convenient time

If you want to compose emails in advance and send them later, set a date and time for sending emails. Outlook automatically sends messages on your schedule and moves them from the Outbox to the Sent Items folder.

The instructions in this article apply to Outlook 2019, 2016, 2013, 2010, 2007, 2003, 2000; and Outlook for Office 365.

Schedule Delayed Email Delivery in Outlook

Microsoft Outlook supports scheduling email messages to be sent later rather than immediately.

For Microsoft Outlook 2019, 2016, 2013, 2010 and 2007

  1. Select New email address † Or select an existing email address and select To answer Answer all or forward

  2. Compose the message and address it in the message box.

  3. Go to the tab parameters: and choose Postpone delivery

  4. In the dialog box Characteristics go to section Shipping options and check the box Do not deliver until

  5. Set the date and time when you want to send the email.

  6. Select close to

  7. Select in the message box send

  8. Go to folder outgoing to find emails that have been scheduled but not yet sent.

  9. To change the delivery time or date, open the message in a separate window, select parameters: Postpone delivery and schedule another shipping time.

  10. To send a scheduled email immediately, open the message in a separate window and select send

For Outlook 2003 and Outlook 2000

  1. In the email message box, select parameters: parameters:

  2. In section Shipping options Check the box Do not deliver until

  3. Use the drop-down lists to set your preferred delivery date and time.

  4. Select close to

  5. Select send

  6. Go to folder outgoing to find scheduled emails that haven’t been sent.

If you change your mind and want to send an email right away, follow these steps:

  1. Go to folder outgoing and select a scheduled email.

  2. Select parameters:

  3. In a group extra options select Postpone delivery

  4. Uncheck the box Do not deliver until

  5. Select close to

  6. Select send † The letter was sent immediately.

Create send delay for all emails

You can create an email message template that automatically turns on sending delays for all messages you compose and send. This is useful if you often make changes to an email you just sent, or if you sent an email that you regretted sending in a hurry.

Adding a default delay to all your emails prevents them from being sent right away. This gives you the option to make or undo changes, as long as it’s within the delay you created

To create a deferred send email template:

  1. Go to the tab File

  2. Go to the tab Information and select Rules and Warnings

  3. In the dialog box Rules and Warnings go to tab Email Rules and select new rule

  4. In the Rules Wizard, go to the section Start with an empty line select Apply rule to sent messages and then select Further.

  5. mention Select conditions check the boxes for the settings you want to apply to sent messages. To apply the send delay to all messages, clear all check boxes. Then select Further

  6. If you have cleared all the check boxes, a confirmation window will appear. Select Yes to apply the rule to all sent messages.

  7. mention Select action(s) Check the box delay delivery for a few minutes

  8. mention Edit rule description select number

  9. In the dialog box Delayed delivery enter the number of minutes you want to delay sending emails. Maximum 120 minutes. Then select Okay

  10. IN rule master select Further

  11. Select any exceptions and then click Further

  12. In a text box Enter a name for this rule enter a descriptive name.

  13. Check box Enable this rule

  14. Select Finished

  15. In the dialog box Rules and Warnings select Okay to apply the changes.

  16. When you choose send for each email, it will be saved in the Outbox or Drafts folder, where it will wait the specified time before being sent.

What happens if Outlook doesn’t work during delivery?

If Outlook isn’t open and running when the message reaches its scheduled delivery time, the message won’t be delivered. The next time you start Outlook, the message is sent immediately.

If you’re using a cloud version of Outlook, such as Outlook.com, scheduled emails are sent at the right time, whether you have a website open or not.

What happens if there is no internet connection during delivery?

If you are not connected to the Internet during a scheduled delivery and Outlook is open, Outlook will try to deliver the email at the specified time, but it will fail. A window appears with a message about the Outlook send/receive error.

However, Outlook will also try to automatically resend at a later time. When the connection is restored, Outlook sends the message.

Again, if you use Outlook.com in the cloud for email, scheduled messages are not limited to your connection.

If Outlook is set to work offline at the scheduled delivery time, Outlook will automatically ship as soon as the account used for the message is back online.
