If your messages don’t need fancy formatting, just send plain text emails

You can send messages using advanced HTML formatting, including inline images in Outlook. But not everyone wants to receive such letters. Instead, send plain text emails. Plain text emails don’t include custom fonts and the like, but rest assured that everyone will find your messages perfectly legible.

The instructions in this article apply to Outlook 2019, Outlook 2016, Outlook 2013, Outlook 2010, Outlook for Office 365, Outlook Online, and Outlook for Mac.

Send a plain message in Outlook

To compose and send an email with plain text in Outlook:

  1. Go to the tab At home and select New email address † Or click on Ctrl + N

  2. In the message box, go to the tab Text format

  3. In a group Format select flat text

    You can also choose the default format for composing new messages in Outlook.

  4. You may see a warning dialog that some messaging features are not supported in a text email. Select Get on

  5. Compose a message and select send

Send a plain message in Outlook Online

To send a text message in Outlook Online:

  1. Select A new message

  2. Select extra options (indicated by 3 dots), then select Switch to plain text

  3. You may receive a warning about switching to plain text. If yes, select Okay Get on.

  4. The formatting toolbar disappears from the message bar.

  5. Compose a message and select send

Send a plain message in Outlook for Mac

To deliver an email that contains only plain text using Outlook for Mac:

  1. Click New email address † Or click on alt + Assignment + No

  2. In the message box, go to the tab parameters:

  3. In a group Text format turn off the switch HTML to display usual

  4. If prompted to disable HTML formatting, click Yes

  5. Compose your message.

  6. Send a message.
