Organize your Outlook emails

If you use multiple POP email accounts with Outlook, Outlook will deliver all new email to your inbox. You can set Outlook to deliver email to different mailboxes. However, to make things easier for you, sort your inbox by account and then by date, for example to see messages that belong together. This way your email will be grouped by email accounts.

The instructions in this article apply to Outlook 2019, Outlook 2016, Outlook 2013, Outlook 2010, and Outlook for Office 365.

Sort incoming Outlook messages by email account

To sort or group emails in your Outlook inbox by the email account where you received them:

  1. Go to the tab Vision .

  2. In Group Current display select Show settings .

  3. In the dialog box Advanced display settings select group by .

  4. In the dialog box group by uncheck Automatically group by location .

  5. Select arrow Select available fields from and choose All email fields .

  6. Select drop-down arrow group by and choose Email account .

  7. Select Okay .

  8. In the dialog box Advanced display settings select To sort .

  9. In the dialog box To sort choose how messages are sorted into account groups. For example, to sort messages by the date they were received, select Have received .

  10. Select Okay to close the Sort dialog box.

  11. Select Okay to close the Advanced Display Options dialog box.

  12. If the Outlook reading bar is disabled or at the bottom, use the column headings to change the sort order in account groups.

Fake Unified Inbox in Outlook

Use Quick Find (or a simple VBA macro) to list all IMAP and Exchange accounts in one inbox.

To collect all email from IMAP, Exchange, and PST (POP) inboxes into a search results folder with Outlook:

  1. Place cursor in text field Search for the current mailbox . Or click on Ctrl+E .

  2. login folder: (inbox) .

  3. Click the drop-down arrow Search and choose All mailboxes .

  4. The current display settings are applied. When grouping by account is in effect, the results of all incoming messages in Outlook are grouped by account.
