Use a custom signature when replying or forwarding a message

An email signature puts your brand in your correspondence and – when you include your contact details – makes it easy for people to contact you. Creating and using a signature in Microsoft Outlook is very simple. However, Outlook only adds a signature to new email messages. To add a signature to messages you’ve replied to or forwarded, change your Outlook settings.

The instructions in this article apply to Outlook 2019, Outlook 2016, Outlook 2013, Outlook 2010, and Outlook for Office 365.

Use a special signature for replies in Outlook

To automatically add your signature to replies or forwards, change your Outlook settings.

To use the new signature for replies and forwards in Outlook, create an email signature before you begin.

  1. Go to the tab File

  2. Select parameters:

  3. In the dialog box Outlook options select tab mail

  4. In chapter Create messages select Signatures

  5. In the dialog box Signatures and form select drop-down arrow Reply/Forward

  6. Select the signature to add to messages you reply to or forward to other recipients.

  7. Click Okay to apply the changes and close the Signatures and Letterheads dialog box.

  8. Select Okay to close the Outlook Options dialog box.
