This Office 365 app is a powerful tool for sharing information online.

Microsoft Sway is an Office 365 app available for Windows 10 or later. While the app is free to download or use online, it has even more functionality when used with an MS Office 365 subscription.

You can add a variety of content to Sway from virtually anywhere to create interactive presentations, newsletters, or documents. You can also print or share your Sway in several ways.

Sway is a presentation designer, but it’s not exactly PowerPoint, Publisher, or Word, even though it contains elements of all those applications. Learning about its features and limitations will help you decide how and when to use the Sway app.

Where do you find influence?

There are two ways to access Microsoft Sway: on the web or on your desktop.

If you have a Microsoft account, you can access Sway on the web. And if you have any of the following, you have a Microsoft account.

  • Outlook.com email address (including Hotmail or Live.com email address)

  • OneDrive account

  • Xbox LIVE account

  • MSN account

  • Microsoft Office product for home use

If you don’t have a login for any of them, you can easily sign up for a free Microsoft account. After logging in to your MS account, you can access Sway Online from the menu in the top left corner of any account page or go directly to sway.office.com.

Sway on the web is optimized for the following browsers:

  • Microsoft Edge

  • Internet Explorer 11

  • Firefox 17 or later

  • Chrome 23 or later

  • Safari 6 or higher

You can also download the desktop version of Microsoft Sway if you have Windows 10. If you already have an Office 365 subscription installed on your computer, just type to wave in the Windows search box and select the Sway app to open it.

Available content types

Microsoft calls Sway a digital business history app. There are four main types of content you can create with Sway:

  • Reports

  • Presentations

  • Newsletters

  • stories

However, they can all be modified and created to create an unlimited number of visual and interactive documents. For example, templates and favorite “Sways”, as Sway files are called, include:

  • Overview

  • portfolios

  • projects

  • photo albums

  • press releases

  • Training Documentation

  • blog posts

You can use one of the many included templates or create a Sway from scratch. You can also reuse content from your existing files. Sway allows you to import content from Word documents, PowerPoint presentations, and PDF files.

Version differences

There is a slight difference between the free version of Sway and the version that comes with MS Office 365.

  • The Insert tab in Sway 365 provides unique content sources.

  • Sway 365 has built-in sharing options.

  • The Office version of Sway offers improved content restrictions.

In addition, Office 365 Sway users can add password protection, remove the header, add a logo to the header, view advanced analytics, and more.

Create and share content

Depending on the version you’re using, you can share and collaborate on the Sways you’ve created. You can invite other users to view or change your influence:

  • From URL

  • With a visual link showing an example

  • On Facebook, Twitter or LinkedIn

  • With an embedded link to your site

You can also require others to use a password to access a Sway you create.

You can also export Sway content to Word or PDF if you want to save it offline or print it.
